Privacy Policy for Ami Mail

This Privacy Policy explains how Ami Mail ("the Bot", "we", "us", or "our") collects, uses, and protects your information when you use our Discord bot and the accompanying web dashboard.

Information We Collect

To provide our Mod Mail, Ticket, and Dashboard services, we collect the necessary data from Discord's API and our website interface.

  • Discord User Data: When you use Ami or log into the dashboard via Discord OAuth2, we collect your basic profile information, including your Discord User ID, username, and avatar.
  • Server and Channel Data: We store Discord Guild (Server) IDs, Role IDs, and Channel IDs to properly route Mod Mail, create ticket channels, and verify administrator permissions.
  • Message Content: Ami temporarily processes message content to deliver messages between users and staff via webhooks. We also store message data to generate secure, interactive HTML transcripts when a ticket is closed.
  • Dashboard Inputs: If you submit a bug report or interact with dashboard forms, we collect the text and categories you provide.

How We Use Your Information

We do not sell or rent your data. Your information is used strictly to make the bot function:

  • To facilitate private, secure Mod Mail and Ticket conversations.
  • To authenticate you on the web dashboard and ensure you have the correct permissions.
  • To generate transcripts for server archiving.
  • To track and resolve bugs reported via the dashboard.

Third-Party Services

We utilize trusted third-party services to keep our dashboard secure:

  • Cloudflare Turnstile: We use Cloudflare Turnstile on our dashboard to prevent bot spam and abuse. Turnstile operates silently in the background and evaluates browser data to ensure you are human. You can learn more in the Cloudflare Turnstile Privacy Addendum.

Data Retention and Security

  • Retention: We keep your Discord ID and associated server configurations as long as Ami remains in your server. Bug reports and transcripts are kept as long as necessary for administrative purposes.
  • Security: Our database is secured and restricted only to the core development team.

User Rights and Data Deletion

Under international privacy laws and Discord’s Developer Terms of Service, you have the right to request the deletion of your data. If you want your data removed from our systems, please submit a deletion request below.
